To correct a transaction

Everyone can make mistakes from time to time, that's why you have the Corrections option. If you make a mistake on a transaction or you enter a transaction in error, you can use this to correct, reverse or delete your transactions.

You can use this window to correct or delete transactions. If a transaction is grouped as a batch of transactions this option amends or deletes all of the individual item lines. Also, you cannot delete individual items but you can edit them.

If you click Edit Item or Delete Item from the Corrections window the same window appears with slight differences.

Edit Item

You can edit the individual item lines if it's a batch of transactions. You can also save any of the changes you make in this option.

Delete Item

You can view the individual item lines. You only have the option to Delete transactions you cannot make any changes.

Some of the fields within a transaction are critical fields. This means that if you amend them, the original transaction is deleted and a new transaction is posted. Some transactions cannot be corrected or deleted and must be reversed Find out more

To correct a transaction

  1. File > Maintenance > Corrections.

  2. Select the transaction you want to correct.
  3. To amend the transaction > Edit Item > proceed to step 5. Find out more about the effect of corrections
  4. To delete the transaction > Delete Item > Delete > Yes.
  5. The following information appears:

    Account

    The customer or supplier account reference. If the transaction is not associated with a customer or supplier this field does not appear.

    From the drop-down list you can choose a different account reference.

    Bank

    The bank account reference, this only appears on bank transactions.

    From the drop-down list, choose the required bank account.

    Reference

    Transaction reference.

    Description

    Description of the transaction.

    Created on

    The date used on the transaction.

    Posted on

    Shows the software date when the transaction was entered.

    You cannot edit this field.

    Net

    Net value of the transaction or batch of transactions.

    To amend this value, click Edit.

    Tax

    Tax value of the transaction or batch of transactions.

    To amend this value, click Edit.

    Currency

    The currency of the transaction.

    You cannot edit this field.

    Exchange rate

    If the transaction is in the base currency this shows as 1.00. If not the exchange rate entered appears.

    Posted by

    The Sage user who posted the transaction.

    You cannot edit this field.

    Bank rec on

    This only appears on bank transactions.

    If this is selected, it also shows the date the transaction was bank reconciled on.

    VAT Rec Date

    If applicable, shows the date the transaction was VAT reconciled.

    You cannot edit this field.

    Paid

    The amount of the transaction which is allocated and not outstanding.

    You cannot edit this field.

    Foreign gross

    The full gross value of the transaction, if the transaction uses a different currency this value appears.

    You cannot edit this field.

    Paid in full

    Selected if there is nothing outstanding on the transaction and it is fully paid or allocated.

    You cannot edit this field.

    Opening balance

    Selected if the transaction was entered through the OB option within a record.

    You cannot edit this field.

    Finance charge

    Selected if the transaction was entered through the Chase Debt option as a credit charge.

    You cannot edit this field.

    CIS reconciled

    Selected if the transaction has been submitted as part of a CIS return.

    You cannot edit this field.

    Disputed

    Selected if the transaction has been marked as a disputed item.

    You cannot edit this field.

    Revaluation

    Selected if the transaction is a foreign currency revaluation transaction.

    You cannot edit this field.

    Printed

    Selected if you printed a cheque for this transaction.

    You cannot edit this field.

    Item Line Details

    If the transaction is made up from multiple item lines, the individual item lines show here. To edit the information on an item line, select the required item line > Edit.

  6. If you want to amend the details on an individual item line, select the line > Edit. Find out more
  7. To save the changes > Save > Yes.
